We do not scan your journals or family messages to gather unnecessary facts about you, and we do not infer sensitive traits from your activity.

The exact fields we gather change a little per service. A care coordinator who manages several older adults may have to supply an account role and an agency affiliation; a family member setting up a bulletin board may only provide a name and an email. We list the fields inside each form before you submit, and we keep the set as small as the feature allows. When a field is optional, we say so and we never punish you for leaving it blank.

We also collect responses to voluntary feedback questions, such as which font size you prefer or how easy a screen felt to use. Your replies help us improve accessible design for everyone. We want the uses of your information to be plain and predictable. We use the same details to recover your account when you need help, to send an appointment note close to the visit, and to flag an unusual sign-in that may mean someone else reached your account. In every case we apply the narrower use that serves you, and we never broaden a purpose just because the data is already there.

6. Lawful Bases for Processing

We process personal information only where we have a lawful reason to do so. These reasons include the performance of a contract you have with us, compliance with legal obligations such as accounting rules, our legitimate interests in operating and improving our community services, and your consent where the law requires it, such as for certain types of messages.

When we rely on legitimate interests, we balance those interests against your rights and freedoms. For example, we rely on legitimate interest to keep our network secure and to remember that you chose to be remembered by adjusting cookies. Payment and tax records are kept for the period set by Canadian accounting rules. We periodically review data sets and delete what no longer serves the service, the community, or the law.

Retention is guided by a few plain questions. Do we still need this to run the account? Does the law ask us to keep it for a set number of years? We apply erasure differently to different kinds of data. 11. Privacy for Children

Our services are designed for older adults and the grown families who support them. They are not directed at children under thirteen years of age. We do not knowingly collect personal information from children. A bulletin board that displays a grandchild drawing is treated as content shared by an adult account holder, and we encourage those adults not to include the child data beyond what a name and simple artwork allows. If you believe a child has given us personal information without permission, tell us and we will remove it as quickly as we can.

12. Security of Your Information

We use sensible safeguards to protect what you share with us. Accounts are protected by passwords, connections are encrypted in transit, and access is limited to staff, developers, and volunteers who need it for their role. We ask team members to keep the number of people who can see raw data small and to handle it with care.

No method of storage is completely secure against every risk. If a security event does occur that involves your personal information, we will notify the relevant authorities and, where appropriate, contact affected users in a timely manner. We store the least data we can and keep the rest well guarded.

Beyond technical controls, we work on habits that protect data every single day. Team members sign a short confidentiality understanding and receive a refreshed privacy briefing each year. Access to a production account is reviewed and trimmed when a volunteer changes role. We discourage the use of shared mailboxes for anything sensitive and we fold freshly asked privacy questions back into our guidance so the whole team learns together.

13. Your Rights and Choices

Depending on where you live, you may have a range of rights over your personal information. These can include the right to access a copy, to correct mistakes, to delete data, to restrict or object to certain processing, to request that your information be moved in a usable digital form, and to withdraw consent where consent is the legal basis.
